How does a company train employees on a critical procedure when the employees are spread across multiple departments of the company? How do you effectively reach different age groups with different levels of technological savvy? In this case study, Writing Connections partnered with a client to create a training video to ensure that internal customers across the organization learned how to complete new timesheets in a newly acquired software tool.
A large multi-national transportation company with a diverse workforce in many departments and roles.
The company was implementing a new time reporting system with a timesheet completion process that was quite different from the old one. The company asked Writing Connections to create a training tool that would train the entire company with the goal of accurate time reporting with a minimum of questions for the Help Desk.
Because we were producing a training tool that needed to teach employees of all technological abilities, we decided to create a training video. We thought that a visual description of the process would be effective for the least technologically minded employees. Because this training was required for employees, we wanted to produce a quick, painless, engaging, and maybe even slightly fun training experience.
Actions taken to make the video effective and engaging:
We included voiceovers to ensure the training was usable for users with varying learning styles, who preferred audio playback, or who had accessibility needs.
The demonstration included the exact clicks, mouse movements, menu selections, etc. that the user would do to complete the procedure. Including this level of detail can help reduce the number of questions directed to the Help Desk.
We used the client’s corporate colors, graphics, and images to help employees immediately recognize the video as an official training tool from their organization. At the same time, it added a sense of professionalism and customization to the project.
We included speech bubbles, not only to provide a secondary way to absorb the script, but also for users without sound or with accessibility needs. The dual-modality approach ensured that the content was accessible to all users.
We produced a video that was 3 minutes and 40 seconds long. The video included the following parts:
Our client was delighted with the video. The employees found it very easy to follow. Most importantly, the switch to the new time reporting system went smoothly, and as a result, their financial reporting improved. The video was so successful that we had other departments asking us to develop videos for their procedures and training.
